Add a term to the custom vocabulary

Adding terms to your custom vocabulary allows you to correct transcription errors and track unique terms critical to your business. When alternative transcriptions are detected, MeetRecord will replace them with the correct term, ensuring accuracy in both current and historical calls.


Do’s and Don’ts of Custom Vocabulary

Do’s

  1. Add Nouns: Focus on key nouns relevant to your business.
  2. Separate Multi-Word Terms: For terms like MuleSoft, add mule and soft as individual words.
  3. Include Long Terms: Add phrases such as ADP Workforce Now or Create Dynamic Teams.
  4. Use a Single Term with Multiple Alternatives: For example, add Covid19 and include alternatives like coronavirus, covid, corona, covet 19.
  5. Add Industry Jargon: Include business-specific terms like quotas.
  6. Use Related Word Forms: Reduce redundancy by enabling tracking for derivatives like record, recorded, recording.

Don’ts

  1. Avoid Common Terms: Skip generic terms (e.g., numbers) unless critical to your company (e.g., 121eCommerce).
  2. Don’t Use Generic Transcriptions: Avoid adding common terms like talent as an alternative for Talend.
  3. Exclude Special Characters: Avoid adding punctuation or special symbols in terms.
  4. Don’t Add Derivatives Manually: For example, adding POC automatically accounts for derivatives like POCs.
  5. Skip Pronunciation Variants: Avoid adding separate terms for similar pronunciations like Salesforce and SFDC.
  6. Ignore Regional Accents: Do not add alternatives based solely on accent variations (e.g., blue vs. blow).

Steps to Add a Term

Access Custom Vocabulary:

  • Go to Company Settings > Custom Vocabulary.
  • Click +ADD TERM.

Define the Term:

  • TERM: Enter the term you want to add.
  • CLASSIFICATION: Categorize the term based on context:
    • General Term: Industry-specific terms like GDPR.
    • Company Name: Your company’s name.
    • Other Company Name: Competitors or partners, like Airbnb.

Add Alternative Transcriptions:

  • In the APPLICABLE LANGUAGES AND ALTERNATIVE TRANSCRIPTIONS section, list alternative pronunciations or spellings, separated by commas (e.g., corona, covid).
  • Click Add Language to include variations in other supported languages.

Save the Term:

  • Click SAVE to finalize your entry.

How It Works

  • Immediate Application: New terms and their alternatives are applied to all future calls.
  • Historical Updates: Transcriptions in past calls are automatically updated in the background, with corrected terms appearing within a few hours.
