Recording Settings Overview

Recording settings in MeetRecord depend on several factors, including:

  • Individual data capture settings for each company participant on the call.
  • Company-wide recording configurations.
  • Consent profile settings.
  • Actions during the call, such as stopping the recording.
  • Meetings where recording is not scheduled.

Calls Excluded from Recording Criteria

Certain calls do not meet recording criteria when scheduled, such as:

  • Face-to-face meetings or meetings without a web-conference URL.
  • Meetings scheduled by your customer.

These meetings are still essential to your deal activity and will appear in MeetRecord if detected. Learn more in our documentation.


Troubleshooting Skipped Recordings

Some calls may not be recorded due to specific circumstances at the beginning of the call. MeetRecord displays the reason when you hover over the skipped recording icon. Below are common reasons for skipped recordings and solutions to prevent them:

Skipped Recording Reasons and Actions

1. Canceled

  • Description: The meeting was canceled, deleted from the organizer's calendar, or declined by the organizer.
  • Solution: Confirm with the host whether the meeting was canceled.

2. Conversation Too Short

  • Description: Calls shorter than 30 seconds are not recorded. MeetRecord requires audio activity for processing.
  • Solution: Ensure calls last longer than 30 seconds and include audio activity.

3. Could Not Be Processed

  • Description: A minor issue with the video conferencing provider.
  • Solution: Contact MeetRecord Support with the call URL.

4. Recorder Denied from Joining

  • Description: The host enabled a "waiting room" but did not allow the MeetRecord recorder to join.
  • Solution: Confirm the host allows the recorder to enter the meeting.

5. Recorder Dismissed

  • Description: The host removed the MeetRecord recorder from the meeting.
  • Solution: Verify with the host if the recorder was dismissed.

6. Recorder Stopped Recording

  • Description: The recorder left the call after a few minutes due to lack of visibility into participants.
  • Solution: Update settings to ensure the recorder can view participant details.

7. Invalid Meeting Link

  • Description: The meeting link is invalid or incorrectly formatted.
  • Solution: Confirm the link is accurate in your conferencing provider's settings.

8. Invited Too Late

  • Description: The meeting was scheduled less than 30 minutes before its start time.
  • Solution: Schedule meetings in advance or use the impromptu scheduling option.

9. Meeting Was Full

  • Description: The meeting reached its maximum participant limit.
  • Solution: Check the maximum participant limit of your web conferencing provider.

10. No Show

  • Description: No participants joined the call except the host.
  • Solution: Ensure participants join the call via audio channels.

11. Password Required

  • Description: The meeting room required a password that was not included in the invite.
  • Solution: Include the password in the web conference link.

12. Recording Consent Withheld

  • Description: A participant did not consent to recording.
  • Solution: Recording cannot proceed without consent.

13. Schedule Changed

  • Description: The meeting was rescheduled, and the original meeting appears as skipped.
  • Solution: Join at the rescheduled time.

14. No VOIP

  • Description: VoIP access was disabled by the meeting host.
  • Solution: Ensure VoIP access is enabled in the host's settings.

15. Internal Meeting

  • Description: Some organizations only record meetings with external participants.
  • Solution: Check organization settings and consult your admin.

16. Technical Issue

  • Description: A minor issue occurred with the conferencing provider.
  • Solution: Contact MeetRecord Support with the call URL.
